About the role:

We are looking for a part-time Event Coordinator to help during the summer months as we ramp up to a virtual event in September.

Responsibilities

  • Participating in virtual planning/reviewing meetings regularly. (1 hr weekly meetings)
  • Providing feedback and ideas on event planning
  • Creating an external OneDrive folder to receive and organize all the event material in order and in shared location
  • Requesting, following up and collecting information from sponsors, speakers, VIP’s presenters and nominees and winners. I.e. video recordings, ads, logos, photo, bios, etc. Such that they are available in a timely manner
  • Updating the event Agenda file regularly to ensure accuracy of information
  • Communicating & coordinating with the videographer regularly, to ensure access to the event materials without any issues
  • Compiling winner applications
  • Reviewing and editing marketing profiles for nominees list
  • Manage award distribution (Accurate winner names and distribution of final awards)
  • Coordinating with writer and distribute confirmed scripts to presenters
  • Support registration process and inquiries
  • Participating in the virtual event
  • Support Event Manager as needed
