The Practice Manager assists in the management of the practices of arbitrators in the Ottawa and Toronto offices. They have 5+ years of experience working as an assistant (ideally in a law firm), exercise good judgement in a variety of situations, and have the ability to balance multiple priorities.
Responsibilities
- Effectively communicate and confirm daily calendar requirements
- Pull supporting documentation/information for meetings, and arrange appointments/travel
- Maintain a bring forward system
- Apply Microsoft Outlook rules, flags, and categories to manage business-related email while utilizing an effective electronic folder structure
- Ensure email is filed on a regular basis
- Manage speech transcription, docket entry, billing, e-billing, A/R status, and collection
- Handle and coordinate large arbitrations files, send out terms of appointment
- General administrative and clerical duties, from answering phones to filing and making copies (printing and binding) mailing out documents
- Personal assistance (paying bills, fixing wifi issues, dealing with medical insurance, etc)
- Attend meetings and take notes
- Making travel arrangements
- Support arbitration opening and closing procedures, manage requests for availability, and scheduling
- Send and obtain mediation/arbitration agreements, obtain mediation/arbitration briefs, file mediators’/arbitrators’ reports, send out accounts, and obtain payments
Qualifications
- 5+ years of experience working as an assistant (legal preferred)
- 2+ years of experience bookkeeping (QuickBooks preferred)
- Calendar management experience is required
Education
- Legal Assistant Certificate – preferred
- Law Clerk Certificate – preferred
